Registration

How can I register?
In order to register for ICN 2009, log on to the Congress website.

Can I register for the Congress by phone?
No, unfortunately it is only possible to register by filling out the online registration form. If you have problems registering on-line please contact us at
or by phone via +31 20 5040 200.

How much do I need to pay to attend?
This depends on whether you are an ICN member or not and the moment at which you register. Please find below the overview of fees:

Do I need a visa?
As many countries have consolidated consular activities in certain regions, it is advisable to initiate the process for obtaining a visa early. Please check the following website at least 9 months before the Congress to see whether you need a visa: www.home-affairs.gov.za/visa_detail.asp. For further details, please contact your nearest South African diplomatic mission directly.

Can you send me a letter of invitation?
Should you need an invitation letter for the issuance of your visa you may obtain one by clicking here.

What if I need to cancel my registration?
Written notification of cancellation and refund requests must be received before 15 April 2009 by the Congress Secretariat, Congrex Holland BV. The registration cancellation charge is EURO 75. No refunds will be given for registration cancellations received on 15 April 2009 or later. All refunds will be made after the Congress.

Where can I pick up my badge onsite?
Badges can be picked up onsite in the congress venue.

How can I pay my registration?

Registration fees can be paid in Euro’s (EUR) as well as in South African Rands (ZAR). Please note that payments in ZAR can only be made from an African bank account by bank transfer.

Yes.
You can contact Congrex Holland in writing to change your registration. Please send an e-mail to or send a fax to +31 20 50 40 225. Please mention your family name and Congress registration number in the correspondence.

 

Abstracts

How can I submit an abstract?
Abstract must be submitted via the internet. For more detailed information please click on the following http://www.icn.ch/congress2009/abstracts.htm.
Please be aware that the deadline to hand in your abstract is midnight GMT 15 September 2008.

I have submitted an abstract. When will I know if my abstract has been accepted?
Applicants will be notified if their abstract has been accepted by 1 December 2008.

Those whose abstracts are accepted must register for the congress and pay the early registration fee by midnight GMT 1 March 2009. Accepted abstracts will be eliminated from the programme and CD-Rom on this date if registration has not been received.

All decisions on abstract acceptance are final. Once the decision has been rendered on an abstract, no further correspondence will be undertaken.

I would like to make changes to my abstract.
Yes, it is possible to make changes to your abstract. When you login you can make the changes and save this new abstract.
This will not be possible anymore after the deadline of the 15 September 2008.

Can we submit abstracts after the deadline?
No, unfortunately that is not possible.

The above mentioned room rates include breakfast and all applicable taxes. Rooms are subject to availability. If the hotel of your choice is fully booked, Congrex Travel AG reserves the right to book your room in an alternative hotel in the same category.

On-line bookings or hotel reservation form
Participants can book their hotel room via Internet or the hotel reservation form pdf. If you wish to reserve more than 5 rooms, please send an e-mail to .

A global deposit of EUR 150,00 is requested to guarantee your room reservation. Please forward a copy of your bank transfer or enter your credit card details. Hotel requests without payment cannot be accepted. Each participant will receive a confirmation / invoice. Final payment has to be made before arrival in the hotel. Payment is done to Congrex Travel AG.

Booking policy
All requests will be handled on a “first come-first served basis”. Deadline for hotel bookings is 15 April 2009. After this deadline, requests will be accepted however, hotel accommodation is subject to availability. Furthermore, after this deadline, bookings are only possible against full payment by credit card and a late booking fee of EUR 30,00 will be charged.

Cancellation / refund
If your reservation is cancelled until 15 April 2009 the deposit will be refunded, less a EUR 60,00 handling fee. If your reservation is cancelled after 15 April 2009 no refunds can be made. Any change of reservation will be subject to a handling fee of EUR 30,00. Changes or cancellations have to be made in writing to Congrex Travel AG. If you arrive later or leave earlier than the originally booked dates the total accommodation amount will be charged and no refunds can be made.

Please note that for group reservations, 5 rooms or more, will be handled by separate contracts and separate regulations. Please contact for further information.

Programme

Where can I see the programme before the Congress?
The programme will be published on the Congress website.
Besides the general programme, the abstracts and your personal planner will be published on the web. By using the personal planner you can select the abstracts and sessions you are interested in before leaving for the conference. The sessions you select will be included in your personal scheduler which you can print. The print-out will show you exactly which sessions you chose to attend per day, time and in which room.

Where will the Congress be held?
The Congress will be held at the International Convention Centre Durban.
Centrally located and just a quarter of an hour from the airport, ICC Durban is minutes from hotels and beaches. Palm trees form a welcoming avenue while at the entrance to the centre three baobabs, Africa's tree giants, bid a regal greeting.
The International Convention Centre Durban (ICC) is one of the most advanced conference facilities in the world. Flexibility and versatility are key factors in the design of this state-of-the-art technology-driven centre.

Travel

Is there a shuttle service from the airport to the hotel or congress centre? 
Durban is well served by several major international airlines and through the Johannesburg hub. Durban International Airport is situated ±25 km from the city centre.
Costs of a pre-booked and pre-paid transfer will be ZAR 150 per person (one way). This service will operate on the hour, from Durban International Airport to the appointed hotel in Durban city centre.

TRAVELLING to Durban
Important information before you depart to South Africa:

  • Please note that for entering South Africa, immigration requires that all visitors have a valid passport and at least two pages are needed to remain blank for the issuing of stamps. The passport also needs to be valid for the duration of the stay and six months after departure.
  • Be sure that you have a visa in case needed (see also visa information). No visas will be issued on the airport. To find out if you need a visa for South Africa and how to go about getting one, please visit the official South African Government visa website.

ARRIVING in South Africa
When Johannesburg is your airport of transfer to Durban please be sure that:

you have minimal 2.5 hours transfer time between your flights
you collect your luggage at the international arrival hall in Johannesburg and  process  through customs before making your way to the domestic departures area to recheck the luggage to Durban.
you use the official porters (in case preferred). You can recognize the porters  by their orange coats (price ZAR 5.00 per bag).

At the welcome desk staff and ICN volunteers will be will be able to help you to transit from International Arrivals to Domestic Departures in Johannesburg and in Durban with transportation from the Airport to your hotel.

An Airport shuttle service can be booked to take you to your accommodation. Date and time of arrival and the flight number are required when making this booking. Kindly go to the ICN 2009 welcome desk on arrival in Durban and the staff at the desk will direct you to the shuttle bus. This service is to be pre booked.
On departure the shuttle bus will collect you from either the hotel or the International Convention Centre. You can pre book this service or book at the Travel and Tours desk at the ICC. Booking form for airport transfers.

What are nice places to see in Durban?
Durban is South Africa's most popular holiday spot and it's easy to see why. It has miles of soft sand, fantastic swimming beaches, great surfing and warm weather all year round. Located in South Africa's KwaZulu-Natal province and the city boasts an average of 320 days of sunshine a year. Temperatures range from 16-25°C in winter (June to August) to 23-33°C in the summer months (November to March). Durban also offers an exciting mix of design, art, music and food - peppered with fascinating cultural influences. Many events, cultures and nations have shaped Durban, and you'll find more than a dozen museums that tell its unique story.
